FOOD vendor "to do" list
Make sure you're ready for the Flea:
1. CREATE A VENDOR ACCOUNT AND REQUEST YOUR MARKET DATES
Using the link in your initial welcome email, create a vendor account using your email address and a password that you’ll set yourself. You can then request your market dates from your vendor account dashboard. Shortly after you request your dates, you will receive an email confirming your dates. From your account dashboard you can review the status of your dates, and add or change dates if you need to or want to later.
2. OBTAIN THE NECESSARY LICENSES/PERMITS TO VEND AT THE FLEA AND UPLOAD TO YOUR VENDOR DASHBOARD
Upload the following documents to your Vendor dashboard as JPEG or PNG files at the bottom of the page where you can also manage and add more product images. Please do not email these to us. You must always have your hard copies with you at the Flea. All documents must be current and valid for this year, and in the name of the applicant for his or her truck, cart or business. You cannot set-up without all of these documents.
3. FOOD TRUCKS: WATCH YOUR INBOX FOR THE FOOD TRUCK SCHEDULE AND YOUR ASSIGNED DATES
We will do our best to schedule you on your chosen dates, pending availability.
4. CONFIRM YOUR DATES WITH PAYMENT
Your invoice will be emailed to you and appear on your vendor dashboard!
Please note your dates are not confirmed until payment is received, and unpaid invoices may be canceled and offered to other waiting vendors.
There are no refunds after payment but a paid vendor may switch dates with another paid vendor with at least THREE DAYS' notice to the Flea. The Flea reserves the right to decline a substituted vendor if a similar food vendor is already scheduled to be at the market.
GET YOUR TRUCK OR CART READY
Trucks, food tents and carts must put out a 30-gallon trash barrel to help defray the cost of trash removal. Trucks: you may put up a small high top on the sidewalk to take orders but nothing larger.
Outdoor Markets: Tents for vendors without a truck are required to have a MINIMUM 120 lbs of weight, or 30 lbs. per leg required (40 lbs. recommended), firmly fastened and tethered to the tent frame with bungee cords at the top of the tent frame. No exceptions on weights and bungees.
All tables require table coverings that hide anything stored under their tables.

- State Mobile Food Enterprise (MFE) from Department of Business regulation
- City Mobile Food Enterprise (MFE) from Providence Board of Licenses
- Permit to Make Sales at Retail from the State of RI
- Department of Health Food Service Vendor (FSV) License from the State of RI
- Certificate of Insurance (COI) which names The Providence Flea LLC as an Additional Insured (Your insurance agent will know what this is.)
